Matt,
If a client is assigned and the mail has not been downloaded to that client, can the mail still be accessed and read on the web?
Also, can a client be unassigned latter and then the address used only on the web?
I think it’s a great idea to have a professional sounding email address rather than the @yahoo type address. It really does give credibility. I had never thought of forwarding my mail though, so thanks Matt for that really useful piece of information.
I always recommend that a client has a business email this not only adds to the corporate and professional feel of a site but ensures that the clients associates the business with the e-mail. In this age most hosting companies offer either a web-mail system or the ability to either forward to your personal email or you can synchronise with either MS outlook or Apple mail. I feel that this is so important.
Hi Matt
I have been using outlook for years with all email addresses configured for outlook; however, with the option to keep a copy on the server. I also have an organized system for emails and appreciate the option to access my email online. There have been times I have deleted an email or purged my deleted emails prematurely, not realizing I would need it later on for reference. Those are the times I head to my online account to save the day. The only problem is when the mailbox online is full and your emails start bouncing, so it is important to keep an eye on your online mailbox.
Thanks
If you go to your CPanel email set-up as demonstrated in the video, you’ll also see an option where you can change the quota (the amount of email you can accept). If you think a particular email address will get a LOT of activity, you can set the account to unlimited! (not sure if all hosting companies allow this option – mine does)
Of course, even if you set your inbox to unlimited (I once had one account where there were well over 3,000 emails accumulated) you’ll still want to be diligent at keeping up with the flow. There are many other wonderful things you can do as far as filtering, white/black listing, etc. with your own email. What Matt showed us here was the bare-bones basics because it is VITAL to have that professional presence.
I agree with you that having an email address that is linked to a client’s domain name is more professional than using a gmail or yahoo account. When I see a business email that is using one of the free services, but they have a domain name, I cringe because it says to me that either the person setting up the website/email didn’t know what they were doing or that the business doesn’t care that they look unprofessional. Maybe I need you to talk to some of my clients about this. LOL
I have to agree with the above comments, however, it always seems the most difficult thing to set up is email addresses. I use MS Outlook, and I set up all my domain email addresses to be collected by Outlook. I may be paraoid, but I like to keep all emails, and if I am at home, they download into my Outlook accounts. If I am away, I can see them via webmail anyway, so I don’t find any conflicts. I don’t know, but there may be a future video that I haven’t seen that deals with this.
Thanks for your comments! You raise a great point that I’m sure many others would be interested in too. While I myself don’t use Outlook at all, I know for sure that many do.
So you should probably not only post a question on this to other members in the “WP Help” forum, but you can also post your request in the “Request a Video” forum. I’m pretty sure
that at this time we don’t have any videos that cover this. The topic my be slightly more of an MS Outlook question than it is a WP question, but it NEVER hurts to ask and lean on the
knowledge and experiences of other members here at the WPC. That is exactly what the forums are all about. I just did a quick search in the forums for ANYTHING touching on the
topic of MS Outlook and did not find any posts at all. So I would really encourage you to bring this up and see what conversations come about. ~ Jeff
I do look at email address especially Professional email address.
I think when a Yahoo or G mail is being used by a Professional ….I might have a long wait for reply and it really is a huge difference in how people perceive you and your business…..some might not notice at all.
I like to use a professional email but like Matt, I don’t like to check them all over the place. So I will usually forward my emails to a central webmail account. With outlook, you can use the connector and sync emails with windows live.
Matt:
I noticed you did not set-up the Configure Account To Work With Email Client during the email set-up process in the video. I looked at this at my cpanel and was rather confused over it. I do not use Outlook and that appeared to be the only option. If I want to have all emails forwarded so I don’t have to go to my cpanel, can I set-up my personal business email (glen@example.com) in the Forwarder area.and not have to mess with the configure account options after I have set up my email account?. I don’t want to have to go to my cpanel every time I want to check on emails sent directly to me and my business.
You’re right, being/staying organized makes things so much more controlled and easy..
Thank you Matt. I use Outlook myself to keep all my business emails together, and I agree, it definately is better – and looks more professional – to have an email that goes with the business url. I don’t configure my emails in Cpanel; I just do it directly in Outlook. I also use Webmail/Squirrel Mail when I travel. I tend to keep my info@ separate from my ger@email account. It works best for me like this. But isn’t this what it’s all about – knowing the options and working out what works best for onself. G
I never thought forwarding emails before to one central main email, great ideas as I don’t have to rush home to read emails. Now that I just bought myself a nice smartphone!
This is an important topic that deserves a little more attention. Although it is not technically speaking a WordPress topic – it is an important component of IM in general. I’d love to see a video on using Outlook to “aggregate” and manage email accounts from multiple web sites.
I just set up two windows, 1 with Word Press Classroom the other with my WordPress admin site, follow your video and voilà it appears. Now I have a WordPress site, its theme and a email address forwarded to another email address. You make me look sooo good. Have to buy a Smart phone as Sirirat Nash did, I’ll just wait until my site is fully functional and purring along. Thanks
Thanks for a very informative video. I rarely do business with anyone that has a throw away email address.
It just looks very unprofessional and kind of shady. Having an email address that is associated with your web site is a big plus. Your video makes it simple to accomplish.
Thanks, Norm
Thanks, Matt. I’ve got a lot of sites and I have always resisted the idea of multiple emails, but you make a great case for niche specific professionalism by have email that relates to each of your businesses and yet, with forwarding, it doesn’t seem like it would be the nightmare that I envision. Are the forwarded emails clearly marked so that you always know their source sites?
If you are using the CPanel option and you have multiple domains with different email accounts set up for each of them, there’s still a very easy way to quickly check all your individual accounts WITHOUT having to log in and out of each one. Simply scroll down to the bottom of your email accounts page to where it says ‘Default Email Account’ and click on the link ‘Access Webmail’.
The only drawback to using this method is that you can’t reply to emails from the various individual accounts, but I find it’s still a GREAT way to get a quick look at what’s in as well as a quick way to delete the junk.
Don’t know what I’m talking about? Go into your CPanel and play around a bit every once in a while. You’ll pick up all kinds of tips and tricks as you go.
Yes I do agree it is a lout more professionall to have a bussiness flowing email. Most of the third party email companys are really not very secure and they spam you like crazy. Which takes up all your valuable
time as well. I really enjoyed this video
Hmmmm…………….I think I’m pretty lucky. My website guru set up all my sites and all my emails and everything just shows up in my one and only inbox. I’ve had e-mail for about 20 years but have only changed addresses a couple times while friends/family have bounced all over the place. I think it’s important to have consistency so people know where to find you–and so you don’t wind up in the Junk Mail folder all the time. Now that I’m venturing into WordPress for our sites, I know we’ll have more than one address, but still want it to come to one place so we don’t miss anything. Thanks for the info.
I’ve used both my gmail account and my business name for email and haven’t noticed any difference in number of emails received or amount of business obtained. And, both are accessible online.
I suppose, as Matt says, “It is personal preference.”
Best,
Wayne
I still don’t get how to use or access my email for my wp site set up through godaddy from which I got my domain, hosting and wp set up. I feel dumb, but I am new to this gig. Please help me out. Do I just start referring people to my new wp email and assume it comes to my main email? If so how can I change the email to which my wp emails are forwarded. Thank you,
Kate

I hadn’t thought of forwarding the web emails to a central location….will def. be doing this : )
Thanks for the tip
When I forward email, will I then have to clear it off of two separate servers to dispose of it when done?
I never thought forwarding emails before to one central main email, great ideas as I don’t have to rush home to read emails. Now that I just bought myself a nice smartphone!

I like just having one email account, everything goes to my gmail account. Its all about choice. My blackberry keeps me uptodate.

I find that e-mail can get lost in the spam folder. So, using a professional web e-mail address going to where I will see it is quite important to me.
